Privacy Policy
Effective October 10, 2026
iCampNow ("iCampNow", "we", "us") provides online reservation and management software to campgrounds and RV parks. This policy explains what personal information we collect, how we use and share it, and the choices you have. It covers our website (www.icampnow.com), the campground booking site (client.icampnow.com), the campground management site (backoffice.icampnow.com) and the text messages and emails we send.
When you book a campground through iCampNow, that campground also receives your booking information and uses it under its own policies. We handle that information on the campground's behalf to run their reservations.
Information we collect
Campers
- Account details: your name, email address, mobile phone number (optional) and a password, which we store only in a scrambled (hashed) form.
- Bookings and orders: the campground, site, dates, number of guests, notes you add, items you order to your site, and amounts paid and owing.
- Payments: card payments are processed by Stripe. Your card number goes directly to Stripe; we never see or store it. We keep a record of each payment (amount, date, status).
- Text message consent: if you agree to receive texts, we record that you agreed, when, and where (for example, at sign-up), and when you opt out.
Campground staff
- Name, email address, phone number, role, and a hashed password for each staff account.
Campground business contacts
- To introduce iCampNow to campgrounds, we collect business contact details that campgrounds publish themselves, such as on their own websites or public maps: business name, address, phone and email. We record when we've contacted them and their replies.
Collected automatically
- Sign-in cookies: secure cookies that keep you signed in. We don't use advertising or third-party tracking cookies.
- Server logs: such as IP address, browser type and the pages requested, used to keep the service running and secure.
- Email activity: our introductory emails to campground businesses can record whether they were opened or a link was clicked.
How we use information
- To create and manage accounts and to make, change and cancel reservations and site orders.
- To take payments, and to send confirmations, receipts, password resets and other service messages.
- To send text messages you've agreed to receive (see below).
- To let campground staff manage their campground, guests and bookings.
- To contact campground businesses about iCampNow. They can unsubscribe at any time.
- To keep the service secure, prevent fraud, fix problems and meet legal obligations.
We do not sell personal information.
Text messages (SMS)
If you opt in, we send text messages about your reservations and site orders, such as a booking confirmation and a notice when an order is delivered to your site. Campground staff can also choose to get texts about new orders. Message frequency varies. Message and data rates may apply. Reply STOP to stop receiving texts, or HELP for help. You can also turn texts off on your My Bookings page.
We do not share mobile phone numbers or text message opt-in information with third parties or affiliates for their marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third parties. Your number is passed only to our text message provider (Twilio) to deliver the messages you asked for.
Who we share information with
- The campground you book with receives your name, contact details, booking, orders and payments so it can host your stay.
- Service providers who work for us under contract: Stripe (payments), Twilio (text messages), our email provider, and our hosting provider. They may use the information only to provide their service to us.
- When required by law, or to protect the rights, property or safety of our users, the public or iCampNow.
- If our business is sold or reorganized, to the new owner, who must protect it as this policy describes.
Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law.
How long we keep it
We keep account and booking information while your account is active and as long as needed afterwards for campgrounds' records, tax and accounting rules, and resolving disputes. Server logs are kept for a limited time. When information is no longer needed, we delete it or make it anonymous.
Security
We protect information with encrypted connections (HTTPS), hashed passwords, access limited to people who need it, and campground data kept separate so staff see only their own campground. No system is perfectly secure, so please use a strong password and keep it private.
Your choices and rights
- You can turn text messages on or off, and change the number we text, on your My Bookings page.
- You can unsubscribe from our introductory emails using the link in any of them, and stop texts by replying STOP.
- You can ask us for access to the personal information we hold about you, ask us to correct it, or withdraw consent (which may mean we can't provide some services). Contact us below. We may need to confirm your identity first.
If you have a concern about how we handle personal information, please contact us first. You may also contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.
Children
Accounts are for adults. We don't knowingly collect personal information from children under 16.
Changes to this policy
We may update this policy from time to time. We'll post the new version here with a new effective date, and tell account holders about important changes.
